Understanding the Refund Policy
Our refund policy is designed to ensure customer satisfaction with our services. We understand that sometimes a service might not meet your expectations or operational requirements. This document details the conditions under which refunds are issued, the process for requesting one, and important considerations regarding eligibility and timing.
Eligibility Criteria for a Full Refund
A full refund is available under specific circumstances for new subscriptions. To be eligible, the following conditions must be met:
- First Paid Charge: The refund request must pertain to your very first paid subscription with us. This policy does not apply to subsequent renewals, upgrades, or separate subscriptions created after the initial one.
- Time Limit: The refund request must be initiated within seven (7) calendar days of the date of your first paid charge. The date of the charge is considered day zero (0) for this calculation. For instance, if your first charge was on October 1st, the refund window closes at 23:59:59 UTC on October 8th.
- Service Usage: While we aim for satisfaction, excessive usage of resources during the refund period may affect eligibility. For example, if a SaaS offering involves CPU-hours or data transfer, consumption significantly exceeding typical evaluation levels (e.g., more than 100 CPU-hours or 100 GB of data transfer for a service typically used for light analytics) within the 7-day window may lead to a pro-rated refund or refusal. This is assessed on a case-by-case basis.
- Valid Reason: While not strictly required for eligibility within the 7-day window, providing constructive feedback on why the service didn't meet your needs is highly appreciated and helps us improve.
Refund Request Process
To request a refund, follow these steps:
- Contact Support: Send an email to our support team at
.support@stackvora.tech - Subject Line: Clearly state "Refund Request" and include your account ID or registered email address in the subject line. For example:
Subject: Refund Request - Account ID: SV-XYZ-12345 - Email Body: In the email body, provide the following information:
- Your full name as registered on the account.
- The email address associated with your account.
- The date of your first paid charge.
- A brief explanation for your refund request (optional, but encouraged for feedback).
- Confirmation: Our support team will acknowledge receipt of your request within 24-48 business hours.
- Processing: Once eligibility is confirmed, the refund will be processed to the original payment method used for the subscription. Please allow 5-10 business days for the refund to appear on your statement, depending on your bank or payment provider.
Specific Scenarios and Exclusions
Understanding what is and isn't covered by the refund policy is crucial:
- Renewals: This refund policy explicitly does not apply to subscription renewals. We provide ample notification before renewal dates, allowing you to cancel your subscription if you no longer wish to continue. Notifications are typically sent 30, 15, and 7 days prior to renewal.
- Upgrades/Downgrades: If you upgrade or downgrade your subscription plan, the 7-day refund window does not restart for the new plan. The refund policy remains tied to your initial first paid charge.
- Multiple Subscriptions: If you purchase multiple distinct subscriptions under the same account (e.g., for different projects), the 7-day refund policy applies independently to the first paid charge of each unique subscription. However, it will not apply if you create a new subscription after previously canceling and receiving a refund for an earlier subscription.
- Third-Party Integrations/Add-ons: Refunds for services, integrations, or add-ons purchased from third-party providers through our platform are subject to the refund policies of those respective providers. We facilitate the transaction but do not control their refund terms.
- Discounts and Promotions: Services purchased with significant promotional discounts (e.g., "lifetime deals" or discounts exceeding 50% off the standard rate) may have specific refund terms stated at the time of purchase. Always review the terms associated with such offers.
Cancellation vs. Refund
It's important to distinguish between canceling a subscription and requesting a refund:
- Cancellation: Canceling a subscription means that your service will not renew at the end of the current billing period. You will continue to have access to the service until the end of that period. Cancellation does not automatically trigger a refund for the current period unless it falls within the 7-day refund window for a first paid charge.
- Refund: A refund specifically refers to the return of funds for a charge made. As detailed above, our refund policy is primarily for new customers within a specific timeframe.
You can typically manage your subscription and cancellation preferences through your account's billing portal:
# Example CLI interaction (conceptual for a SaaS platform)
# Assuming 'svctl' is our command-line tool
svctl account show-billing-status
# Output:
# Account ID: SV-XYZ-12345
# Current Plan: Pro-Monthly
# Next Billing Date: 2024-11-01
# Auto-renew: Enabled
svctl subscription cancel --subscription-id sub_AB12CD34
# Confirmation: Are you sure you want to cancel subscription sub_AB12CD34? (y/N) y
# Output: Subscription sub_AB12CD34 successfully scheduled for cancellation at the end of the current billing cycle.
Common Pitfalls
- Missing the 7-Day Window: The most common reason for a denied refund is exceeding the 7-day limit from the initial charge. Ensure you submit your request promptly.
- Assuming Refunds for Renewals: Many customers mistakenly believe the refund policy applies to every billing cycle. Remember, it's strictly for the first paid charge.
- Incorrect Contact Method: Sending refund requests to general info mailboxes or through in-app chat (unless specifically directed by support) may delay processing or result in your request being overlooked. Always use the dedicated
support@stackvora.techemail address. - Lack of Account Identification: Failing to include your account ID or registered email address in the refund request email can significantly slow down the verification process.
- Excessive Usage: While rare, significant and non-evaluative resource consumption during the trial period may complicate a full refund, prompting a partial refund or denial based on incurred costs.
